Getting Started with Ledgr

Install, configure, and bill your first customer — typical setup time is under 15 minutes.

1. Download & Install

Pick the installer for your operating system from the downloads section. Ledgr is a single file — no separate runtime to install.

Tip: Ledgr stores its database at ~/.local/share/in.bytesync.ledgr/ledgr.db on Linux (and equivalent paths on Windows/Mac). Back this folder up regularly — or use the built-in auto-backup (covered below).

2. First launch — Welcome screen

The first time you open Ledgr you'll see a welcome screen. Click Get Started to enter the onboarding wizard.

3. Onboarding wizard

The wizard asks 4 quick questions:

  1. Country — drives default Chart of Accounts, tax engine and currency. Pick India for GST 2.0 + IRP, UAE for VAT, US for Sales Tax, etc. You can change the currency symbol later (Settings → Company).
  2. Business type / Niche — Pharmacy, Garment, Wholesale, Auto Parts, or General. This pre-enables the right modules and feature flags. See niche guides for details.
  3. Tax setup — confirms your tax type (GST / VAT / Sales Tax / Custom) and seeds default tax rates. For Indian GST you can paste your GSTIN to seed taxpayer info.
  4. Company details — name, address, logo upload, FY start month, currency. All editable later in Settings → Company.

4. Add your first customer

  1. Open CRM — sidebar → CRM (or Ctrl+Shift+C).
  2. New Contact → fill name, email, phone. For B2B, set type = customer (or both if they're also a vendor).
  3. For Indian B2B customers — paste their GSTIN and click Look up. Ledgr fetches legal name + trade name + address from the GST portal and auto-fills the form. PAN is extracted from the GSTIN (chars 3-12) automatically.
  4. Save.

5. Add your first product (or service)

  1. Open Inventory — sidebar → Inventory → Products.
  2. Click + New Product.
  3. Fill name, SKU, category, unit (pcs/kg/hr/etc.), rate (sale price), tax group.
  4. For inventory-tracked items: tick Track stock and enter opening qty.
  5. For services (no stock): leave Track stock unchecked or visit Services tab — same form, prefilled for service items.
  6. Save.
Niche-specific fields: If you picked Pharmacy, Garment, or Auto Parts in step 3, the product form shows extra sections (drug schedule, size/color variants, OE part numbers, etc.). See your niche guide for details.

6. Create your first invoice

  1. Open Invoices — sidebar → Invoices (or Ctrl+N).
  2. Click + New Invoice.
  3. Pick the customer (or click + New Customer inline).
  4. Add line items — start typing the product name, pick from the dropdown, set qty.
  5. For Indian B2B with GSTIN: e-invoice fields (IRN/QR) become available after save.
  6. Click Save → invoice number auto-generated. Click Print / PDF for a thermal or A4 print.

7. Set up automatic backups

Ledgr can auto-backup your DB on a schedule. Highly recommended.

  1. Settings → Backup & Restore.
  2. Set backup location (e.g. a Dropbox/Google Drive folder, or an external drive).
  3. Set auto-backup interval — Daily is the recommended default.
  4. Click Save. Ledgr creates a .ledgr compressed backup with SHA-256 checksum at every interval.
Important: The 15-day trial backup files are valid for restore even after you activate a license. Don't delete them.

8. Activate your license (when trial ends)

The first install gets a 15-day free trial. From day 8 onwards an amber banner shows the days remaining. After day 15, Ledgr blocks usage until activated.

  1. Buy a license at ledgr.bytesync.in. You'll receive a license key by email.
  2. In Ledgr: Settings → License.
  3. Paste the license key, click Activate. Internet required for activation only.
  4. Once activated, the license is bound to that machine. Use the same key on additional machines if your plan allows (Business plan = 3 machines).
